Technical Writing

What is technical writing?

Technical writing is the writing of instruction manuals, user guides, policies and procedures, and any other detailed, online or print-based content used by customers, staff, coaches and so on.

It may sound boring, but I enjoy taking poorly-written, cluttered, poorly-formatted material and re-writing it so that readers can:

  • Find what they need.
  • Understand what they find.
  • Use what they find.
Technical writing samples

Here are a few samples showing some of my work in this area, in addition to the website portfolio. These were created using the single source, authoring software program Madcap Flare.

Here are some of the techniques we use on technical writing and website design projects:

  • Audience analysis. Figuring out who your primary users are and then designing and writing for them.
  • Subject matter expert interviewing. You need to: a) do your research so you are not going into the interview cold, b) be organized, c) listen well, and d) ask lots of questions.
  • Style guide writing. Every company should have a style guide to document things like the font and colours used on the logo, the website, and advertising material.
  • Instruction writing. For example, you will receive an instruction manual with step-by-step instructions how to use WordPress and the other programs that were used to create your website.
  • Plain language writing. This is such an important feature that it has its own section below.
  • Graphic design and typography. Most good, modern websites and reader-friendly documents include good graphic design, which includes everything from headings, tables, bulleted lists, and whitespace. In addition, the type of fonts used has a huge impact on your site and documents.
  • Project management. This includes everything from developing a plan with a list of requirements, schedule and milestones, to a detailed outline showing the website or document hierarchy and list of pages, to a weekly status report.
Plain Language Content

The most effective websites and documents are built using plain language techniques.

A website or document is written in plain language if the language, structure, and design are so clear that the intended audience can easily:

  • Find what they need.
  • Understand what they find.
  • Use what they find.

Some rules of plain language writing are:

  • Use simple, familiar words wherever possible.
  • Appeal to the reader by using “I”, “we”, and “you” where suitable.
  • Keep sentences short. Sentences should be no more than 15 to 25 words long.
  • If specialized terminology is unavoidable, define each term.

Website Maintenance

Webmaster or Web Administrator

If you are looking for someone to help keep your website working properly and the content fresh, we do that too.

We will become your webmaster or web administrator, if you don’t have the time or resources to maintain the site yourself.

This work includes:

  • Updating the WordPress or other content management system plugins.
  • Adding new and changing existing content and products.
  • Adding new plugins or making changes to CSS and PHP files to provide additional functionality or features.
  • Analyzing the web traffic for SEO and marketing purposes.

We are available for ongoing support on an as-needed basis or on a monthly maintenance program — whatever suits your needs.

Instructional Design

If you are looking to create a new program or update your corporate training or elearning with something that:

  • Is very easy to maintain.
  • Won’t bore your staff or users to tears like much of the elearning programs developed in the last 30 years.
  • Will motivate your users.
  • Is meaningful for your users.
  • Will be memorable for your users.

This is a growing area and one that we are excited to be involved.
